Summary
Provides support with the daily activities of the office including filing, appointment scheduling, registration, and other day to day duties.
Supervisory Responsibility:
This job has no supervisory responsibilities and reports to the office manager.
Administrative Assistant Job Responsibilities:
- Provides administrative support to ensure efficient operation of office.
- Answers phone calls, schedules clients, collects copays, and supports clients.
- Carries out administrative duties such as filing, scanning, faxing, shredding, etc.
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Supports team by performing tasks related to organization and strong communication.
- Ensures operation of equipment and notifying Office Manager of needs.
- Provides information by answering questions and requests of clients and staff.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing orders for supplies through Office Manager.
- Contributes to team effort by accomplishing related results as needed.
- Assist with light cleaning of common areas as needed.
Other administrative duties as needed
- Back up for phones and Intake Coordinator duties.
- Maintain an awareness of services offered, cost, availability of therapist, knowledge of in-house and outside resources/referrals.
- Contribute to team effort by accomplishing other tasks and duties as needed.
- Place and remove garbage and recycling container from street at as needed.
- Cover other administrative staff for vacations and PTO.
- Special projects or presentations as needed.
- Take initiative when appropriate and demonstrate excellent problem-solving skill.
Qualifications
Skills and Qualifications
The Administrative Assistant will be a health care professional (preferred) with soft skills and technical abilities to handle the day-to-day elements of mental health office. This individual must be bilingual, Spanish/English.
Education and/or Experience
High school diploma. 1-2 years experience preferred but not required.
Certificates, Licenses, Registrations
Current driver's license and no criminal background or arrest record.
Other Skills and Abilities
- Crucial – Ability to keep information confidential. In addition, relationships and friendships cannot be formed with clients in social media settings or in any other manner.
- Typing skills, Nitro Pro, Microsoft (Excel, Power Point, Word, Publisher), Adobe Acrobat (Pro DC, Reader). Use of Therapy Appointment contact management scheduling and billing system.
- Ability to speak fluent Spanish.
- Patience with demanding clients as well as with children.
- Ability to work individually and as part of a team.
- Cross train to be able to perform other administrative duties.

- The noise level in the work environment is quiet.
