We are looking for an office manager to organize and coordinate administration duties and office procedures for a mental health private practice. Your role would be to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager duties and responsibilities include appointments, making office supplies arrangements, awareness of 3rd party payor insurance companies and billing, greeting clients, and providing general administrative support for therapists. Previous experience as a office manager or office administrator in a medical or mental health setting would be an advantage. A successful office manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation. 


Responsibility includes managing office day to day, overseeing administrative staff (intake, billing, finances), and assisting therapists.

In addition, this is a position in which the office manager develops guidelines and procedures to keep track of practice statistics for measuring effectiveness of services. The office manager provides maintenance of statistical data for improving practice and supporting as evidence-based.

 Supports company operations by maintaining office systems and supervising staff so that it is run efficiently with streamlined processes.  Provides support with the daily activities of the office including responding to internal and external emails, checking fax, offering telephone coverage, appointment scheduling, registration, and other day to day duties.

Supervisory Responsibility:  Management of administrative staff. 

Skills and Qualifications

The Office Manager will be a health care professional with a business background who uses industry knowledge, soft skills and technical abilities to handle the day-to-day elements of mental health office management.  An advantage would be an individual who is bilingual, Spanish.
